Permanent, Full-time, 40 hrs/week
Annual Salary: $65,000

Who you will work with…
Direct report: Keith Robinson
Working relationships with: Management, bookkeeper, marketing, sales, production, tasting room staff, and Wild Life customers.
What you are responsible for…
Administrative Support
- Manage daily office activities, including responding to emails, answering phone calls, and directing inquiries appropriately.
- Scheduling leadership meetings, coordinating calendars, and facilitating communication between team members.
- Monitor office supply levels and place orders as required.
Financial Administration
- Manage accounts receivable processing & assist with accounts payable.
- Prepare and issue customer invoices.
- Process online credit card transactions and maintain accurate records.
- Prepare bank deposits and assist with account reconciliations.
- Manage employee cash tip-outs and related documentation.
- Assist with data entry and maintaining financial records.
- Support the bookkeeper with month-end procedures and other accounting tasks.
- Take on additional bookkeeping responsibilities as training and experience progress.
- Assist the fractional CFO and finance team with financial projects and process improvement initiatives.
Inventory & Reporting
- Manage monthly tasting room inventory reporting.
- Assist with merchandise inventory management and ordering.
- Maintain accurate inventory records and support inventory control initiatives.
Logistics & Fulfillment
- Coordinate delivery drivers to ensure timely and accurate wholesale deliveries and supply pickups.
- Manage online store order fulfillment, coordinating carriers, and tracking deliveries.
- Assist with receiving and organizing incoming supplies and merchandise.
Customer Service
- Provide exceptional customer service by responding professionally and promptly to customer inquiries.
- Support customers through phone, email, and online communications.
- Work collaboratively with team members to resolve customer concerns and ensure a positive customer experience.
General Support
- Assist other departments with administrative and operational tasks as required.
- Contribute to continuous improvement initiatives and support the overall success of the organization.
- Perform other duties reasonably related to the position.
Experience you will bring…
- Strong communicator with excellent interpersonal skills.
- You are highly organized with the ability to prioritize and multitask effectively.
- Proven experience in office administration.
- Strong proficiency in Google Suite and familiarity with accounting software (e.g., QuickBooks).
- Basic understanding of bookkeeping principles and financial operations.
- Excellent organizational and project management skills to handle multiple tasks simultaneously.
- Ability to thrive in a dynamic and fast-paced environment.
- Collaborative mindset with the ability to work effectively within a team.
- Genuine enthusiasm for the WLD brand and its commitment to quality and authenticity.
- Nice to have: Knowledge of liquor regulations in Alberta, current market trends and an awareness of the craft spirit landscape.
